STAFF ASSISTANT - 48000817 Position Number: 48000817 Salary: $35,000-$45,000 Posting Closing Date: 07/21/2021 ANTICIPATED VACANCY DESCRIPTION It is the policy of the Florida Department of Education that Employees and Applicants for employment undergo level 2 employment screening in accordance with applicable law as a condition of employment. This position also serves as personal assistant to the Vice Chancellor and performs a variety of complex secretarial, clerical and administrative duties requiring an extensive working knowledge of the workforce education. This position performs responsibilities that affect both career- technical and adult education programs. The major responsibilities of this position are listed below.
The employee must be productive under tight timeframes, balance multiple and competing priorities and maintain goal-directed behavior and performance sometimes under stressful conditions.
The employee must interact courteously with others.
The employee's performance and behavior must demonstrate consideration of the workload concerns of others and must not negatively affect productivity and morale of the unit.
Supports staff responsible for the implementation of the Adult

Education

State Plan and ensure that local providers are implementing Adult Education services in accordance with state and federal guidelines.
Supports staff responsible for the implementation of the Career and Technical

Education

State Plan, evaluation of programs, services and activities to carry out under the 2006 Carl D. Perkins Act.
Maintains and coordinates the Vice Chancellor's appointment calendar; schedules and makes arrangements for all out-of-town trips and maintains communication with the Vice Chancellor on appointments and scheduled appointments.
Directs personnel activities for employees in the office in accordance with Department of Administration Rules and Department of Education procedures (e.g. personnel action forms, leave, performance appraisals, records, and supervisory activities.) Provides guidance to employees in the office on departmental policies and procedures.
Maintains efficient operations of the office; maintains effective lines of communication between the Vice Chancellor and other groups.
Serves as personal assistant to the Vice Chancellor and serves as office manager for the office by managing daily administrative activities; responsibilities include coordinating and preparing materials for meetings, and reviewing items submitted for approval.
Coordinates activities related to central support services (e.g., purchasing, supplies, equipment maintenance, facility needs, processing of invoices.); responsible for the receipt of goods, processing of vendor invoices.
Participates in appropriate in-service training activities to promote personal development incorporating the department's overall goals and objectives (e.g., Total Quality Management, Career Development, Time Management, etc.). Provides assistance in resolving problem situations by providing alternatives to solution; assumes the responsibility for the completion of special projects and confidential assignments as needed by the Vice Chancellor.
Maintains the records for checkout equipment of technology items ( projectors, etc.) and is responsible for the checkout procedures for items.
Provides technical support and review for the Vice Chancellor's presentations, as well as support for reviews of presentations to be approved by the Chancellor.
Employee complies with guidelines of Section 215.422, F.S., as it pertains to the direct responsibilities of this position and the Bureau of Budget, Accountability and Assessment.
Performs related assignments as needed.
