Job Summary

The Front Desk Administrative Assistant (FDA) is primarily responsible for assisting both the Property Manager and Assistant Property Manager to effectively manage the community. In addition, the FDA is responsible for providing excellent customer service and creating a welcoming environment for Spring Terrace residents, guests and other visitors when they enter the community. Responsibilities

Create a welcoming environment by warmly greeting all residents by name as well as, guests and visitors to the community Provide excellent customer service to all residents, guests and visitors to the community Maintain a secure entrance to the building by signing in and out all guests and visitors according to property guidelines Conduct periodic inspections of the common areas of the buildings to ensure the property is always looking its best Schedule and administer tours for prospective residents Assist with applications as needed Maintain/update resident lists and records (Ex: Reasonable Accommodations binder, Mobility Impaired list) Provide waitlist information/procedure to prospects (by e-mail, phone, and walk-ins) and enter them on OneSite as prospects.
Manage waitlist by entering applicant information into waitlist system and calling prospects quarterly to ensure accurate contact info Provide information to residents and visitors about Community Policies; reiterate policies when appropriate Receive and log packages and inform residents of their arrival Deliver notices for Property Manager and/or Assistant Property Manager Create work orders (WO) in Onesite; follow up on WO completion by calling residents; file WOsRevised 9/1/19 Responsible for filing (resident files in Assistant PM office) Prepare apartments with new move-in package (inspect and prepare green materials) Make key cards for new and current residents; maintain key log/charges Inform mailman of move outs and move ins Responsible for updating pest control document (google drive), inform residents of pest control (including regular pest control, bed bugs, roach clean out) Maintain office supplies list and order as appropriate Monitor building security with surveillance camera systems Answers/Directs/Screens phone calls to appropriate staff and obtain detail messages for PM. Respond to emergency situations and complete incident reports as necessary Summarize day's events in a shift report to be sent to all property staff Accepts rent payments and issue receipts Schedule appointments for residents with property manager Perform general clerical duties requested by Property Manager and/or Assistant Manager Complete fair housing, Mental Health First Aid and other training as required.
Perform all other tasks as assigned Minimum

Qualifications

1-2 years in the industry or in a position of similar responsibilities is required.
Ability to apply job skills and company policies and procedures to complete a wide range of difficult tasks Ability to work on moderately complex assignments Demonstrate judgment to resolve problems and make routine recommendations Needs no instruction on routine work and only general instruction on new assignments.
One Site software experience a plus Physical Demands/Work Environment:
CONSTANTLY: walking or sitting, grasping/gripping, bending/stooping/squatting, finger dexterity, computer input, coordination of hand, eye, and foot.
FREQUENTLY: The employee must be able to stand or climb stairs OCCASIONALLY: The employee must be able to reach above the shoulder, lift 5-25 pounds and do push/pull motion. The employee, at times, must be able to attend off site meetings.
FDAs are expected to work regular hours during FC holidays.
May be required to provide coverage/help at other supportive housing communities as needed
